At Care Compass, Zoom is how we stay connected. We use it for everything. Meetings, planning, teamwork, trainings, catching up with partners, and sometimes just sharing a smile or a funny pet moment. It helps us bring people together from all over, and we love that. We know technology can feel a little scary, especially if you are new to Zoom, and that is completely okay. Nobody is born knowing how to unmute themselves. We all started somewhere.
With a big series of virtual trainings coming up, we want to make sure everyone feels ready. We do not want anyone feeling nervous or left out because they are unsure how Zoom works. If Zoom is new to you, or you have only used it a little, this guide is for you. You belong here, and we want you to feel confident and comfortable when you join us.
So you have been invited to a Zoom meeting. Now what. Take a breath. You can do this. We will walk through it together.
Step 1. Get Your Tech Ready
We want you to feel settled before the meeting starts. According to Zoom’s Getting Started Guide, the first step is choosing a device that works for you.
- Pick your device: You can use a computer, tablet, or phone with internet.
- Make sure you have a webcam: Cameras on is expected for most meetings. Seeing faces helps us connect and feel like we are in the same room, just like Zoom recommends.
- Check your sound: Headphones can help with noise and make it easier to hear.
- If you cannot download Zoom: Zoom notes that you can join in a web browser. Give yourself extra time so it feels calm and not rushed.
Step 2. Set Up Your Space
We want you to feel good about the space you are sharing.
- Pick a quiet spot if you can.
- Look behind you. Try to keep the space tidy.
- Make sure the light is in front of you so we can see your face.
- If you want privacy, Zoom suggests using a virtual background. It lets you join without showing what’s behind you.
Step 3. Open the Zoom Link
This part is simple and follows Zoom’s Getting Started steps.
- Find the invite in your email, calendar, or message.
- Click the link when it is time.
- Enter the meeting ID and passcode if asked.
- Join a few minutes early so you can settle in and feel relaxed.
Step 4. Turn On Camera and Audio
This helps everyone feel included and connected.
- Turn your camera on. It shows you are present and helps build connection.
- Turn your sound on when you speak. Mute again when you are done.
- Test your sound. Zoom recommends using the test button if needed. We want to hear your voice.
Step 5. Update Your Name and Pronouns
We want to greet you correctly and respectfully. Zoom explains how to update your name in your profile or in a meeting.
To update in a meeting
- Select Participants
- Find your name
- Select More
- Choose Rename
- Add your name and pronouns
- Select OK

Sharing pronouns is your choice. We want you to feel comfortable and respected.
Step 6. Learn the Basic Buttons
These will help you feel more in control. Zoom lists these as the main buttons for beginners.

If you forget what they do, do not worry. Someone will help you. We are learning together.
Step 7. Be a Good Zoom Guest
These tips help the meeting feel welcoming for everyone.
- Join a few minutes early.
- Use your real name.
- Keep your camera on.
- Mute when you are not speaking.
- Keep your background tidy or use a virtual background.
- Try to limit noise and movement.
And remember, life happens. Dogs bark. Kids wander in. Someone may walk behind you looking for snacks. It is okay. We will smile and keep going. You are still welcome.
Step 8. If Something Goes Wrong
You are not alone. It happens to all of us.
- Leave and rejoin the meeting.
- Move closer to your router.
- Close other programs.
- Call in on your phone.
- Ask for help. We are always happy to support you.
